Location(s): This position will be stationed at the Headquarters Office in Watsonville, CA. There is a hybrid work schedule available after the first 90 days of employment. Candidates further than 40 miles from Watsonville may be eligible for a hybrid work schedule earlier than the first 90 days of employment
JOB OVERVIEW:
Digital NEST is a workforce development center that has welcomed hundreds of youth from working-class, farmworker communities to develop the technical and professional skills they need to achieve their dreams. It is an exciting time for the NEST as we are on the precipice of expanding to a total of five communities across Northern California by the end of 2026. Digital NEST has centers in the heart of Watsonville, Salinas, Gilroy, Stockton and Modesto. The first Digital NEST in the Central Valley is expected to launch in Stockton in 2023, with plans to scale across the Bay Area and San Joaquin Valley also underway.
The Senior Grants Manager will join a fast growing Digital NEST Development Team and will be involved in the oversight of grants at every stage of the grant process including prospecting for new opportunities, building relationships with potential grantors, creative and efficient grant writing, and all grant reporting for government and private funders. The Senior Manager will direct the schedule for application of all grants and will work with the Senior Grants and Salesforce Manager for securing all content from Program Managers as needed, including communication with other departments and stakeholders in the organization. The Senior Grants Manager will also train staff as needed for compliance issues and processes. The Senior Manager will engage with senior leadership and programming staff as needed to identify funding opportunities and implement the details of grant-funded projects.
RESPONSIBILITIES:
Grant Research, Writing, Application and Reporting for all grants >$50,000 (80%)
- Develop, maintain, and ensure proper grants management procedures are current and consistently tracked, including but not limited to: due diligence procedures, grant reporting dates, award letters, grant agreements, and procedures to ensure availability of funds.
- Research and develop profiles needed to evaluate/prioritize prospective foundation and corporate supporters over $50,000.
- Meet all deadlines for applications and reports, as well as renewals..
- Review, process, and ensure accuracy of all grant requirements.
- Communicate with Leadership Team and major donors (when appropriate) regarding any grant challenges, and questions.
- Act as liaison for the Development Team, assisting with the coordination of grant-making tasks among program, finance, and sustainability teams to ensure a smooth and efficient process for all, including maintenance of a calendar of deliverables from other departments, including outreach to appropriate staff, and providing technical assistance if needed.
- Assist with preparation of monthly development reports for the Board of Directors.
- Competent with IRS rules and regulations, as they pertain to the grant-making process; attend trainings to stay current.
- Engage the Chief Executive Officer, Chief Development Officer, Development Manager, Program Directors and other staff as appropriate in developing strong relationships with foundation partners.
- Develop grant reports based on requests from leadership and develop ongoing reporting and tracking processes. Display and present data in a variety of formats, coordinating with staff as needed
- Collaborate with Program Directors to complete progress reports for all grant-funded projects within deadlines.
- Coordinate with Finance Staff to produce quarterly and year-end reports for internal benchmarking and for annual audit
- Assist with annual budget preparation for the NEST, in collaboration with the Chief Development Officer, and Senior Finance Manager by providing ad-hoc reports.
- Attendance and participation at monthly and quarterly in-person
- Growth & Development team meetings and annual in-person All-Staff meetings.
Grants Database and Administration (15%)
- Maintain documentation, including forms, protocols, workflows and deadlines in Salesforce.
- Maintain foundation organizational and individual contact information, including electronic payment information.
- Collaborate with the Information Technology team on system maintenance, including identifying and documenting problems, defining requirements for new protocols, and testing new procedures.
- Monitor designated email inbox for updates and requests; respond and take appropriate action
Payments (5%)
- Process, track, and forecast grant revenue and expenditures working with the Finance Director.
- Oversee and ensure all restricted and multi-year grants are tracked appropriately and spent-down on schedule.
- Liaison between the Finance and Development departments to ensure compliance and reporting requirements of funded programs in accordance with all NEST program requirements, and policies and procedures
QUALIFICATIONS:
- At least 8 years of grant writing and grant management experience in a nonprofit organization
- At least 3 years of managerial and supervisory experience
- Previous experience with state and federal grants
- A proven track record writing awarded grants
- Advanced proficiency with Google Workplace collaboration tools (Google Docs, Sheets, etc.)
- Basic proficiency with a task management system, like Asana
- Experience with Salesforce
- Previous experience with youth service or educational organizations, preferred but not required
- A self-starter with strong organizational, communication, presentation and customer service skills
- Ability to interact with and relate well to others, and possess the ability to work independently
- Keen eye for detail and a collaborative spirit
- Must be flexible; have a positive, can-do attitude; and have a strong desire to work in an industry that focuses on helping others
- Comfort with networking, and meeting new people in activist and nonprofit circles as well as corporate and business settings
- Proficiency with data visualization
REQUIREMENTS:
- Passion for the mission of Digital NEST and belief in upholding organization’s core values.
- Understanding of and sensitivity to issues of culture/ethnicity/race, gender, sexual identity, class/socioeconomic status and immigration status
- Ability to be an ally to people of color, women and lesbian, gay, bisexual, transgendered, queer, questioning and intersex individuals and their allies (LGBTQIA)
- Candidates must have a valid CA driver’s license, pass a background check, and be able to travel and work evenings or weekends occasionally, or as needed
- Dexterity and coordination, sufficient to perform essential functions.
- Ability to perform administrative and computer-based tasks for up to 4.5 hours at a time.
